Using SharePoint Groups
Designer › audiences, Choose from, conditions, emails
You can use SharePoint groups in many places in Sintel Apps:
- Who can do a workflow action: the action's Audience › Specific users.
- Who can be picked in a Person field: Choose from.
- Rules: the Logic condition Group membership.
- Who gets an email: the recipients of workflow emails.
- Quorum: for example, all members of a group must approve.
Important: every SharePoint group you use in Sintel Apps must let everyone see its members. Treat this as a required step.
Why
SharePoint groups are often set so that only their members can see who is in them. Sintel Apps works with the permissions of the signed-in person and never goes around them. If someone can't see a group's members, Sintel Apps can't tell whether that person, or anyone else, is in the group.
What happens otherwise
Usually there is no error. The group is simply skipped, so:
- An action meant for the group doesn't show for its members.
- A Group membership condition is false, even for members.
- Members don't get the email sent to the group.
- A quorum on the group fails. The action can't be completed and shows an error.
People see different things depending on whether they can see the group, which is hard to spot.
What to do
For every SharePoint group you use in Sintel Apps:
- In SharePoint, open the group's settings (Site settings › People and groups, select the group, Settings › Group Settings).
- Under Who can view the membership of the group?, choose Everyone.
- Select OK.
